Auto-Read and Auto-Fill Driver Documents: Add a Driver in Seconds, Not Minutes
Every rental contract starts with entering the driver's details: name, license number, nationality, issue and expiry dates, date of birth... minutes of error-prone manual typing that repeat with every customer. KIRA's automatic driver-document reading and form-filling feature shrinks all of that to a single photo: you capture it, the system reads the document and fills in the form, and the final decision stays with your staff.
The hidden cost: entering driver data by hand
Every time a new customer arrives, your employee opens the "Add driver" form and starts copying details from the license or ID field by field: the name exactly as written, the document number, nationality, country and date of issue, expiry date, date of birth. It looks like a simple task, but it repeats dozens of times a day and carries three silent costs:
- Wasted time at check-in: minutes of data entry per driver mean a longer queue and a slower experience.
- Human error: a mistyped license number or wrong expiry date can void the contract or muddle traffic-fine matching later.
- Incomplete data: workload pressure pushes staff to skip important fields like the license expiry date, so the alerts you need go missing.
Every minute at the counter has a price, and every error in a driver document can cost you a contract or a fine. This is where smart automation comes in.
What is automatic document reading and filling?
It's a feature built into KIRA that uses AI to read a photo of the driver's document, extract its data, and fill it into the form automatically — with no manual typing. Your employee captures a photo of the driver's license or ID, and the system recognizes the name, document number, nationality, country and dates of issue and expiry, and date of birth, placing each in its correct field within seconds.
Most importantly, it's designed to be an assistant to your staff, not a replacement: it fills empty fields only and never overwrites what you entered by hand, and it saves nothing automatically — your employee reviews and confirms the data before saving.
How does it work? Simple steps
The feature appears whenever you add a new driver — whether while creating a contract or from the drivers page — in the "Driver details and documents" step:
- Choose the document type (driver's license, national ID, residence card, or passport).
- Upload a clear photo of the document; for a two-sided license, upload both sides together.
- Reading starts automatically as soon as the photo is uploaded — no button needed, with a loading indicator.
- Filled fields light up in light green with a prompt inviting you to review.
- Review and edit whatever's needed, then add the document and save.
The result: what used to take minutes of typing turns into a photo and a quick review.
Supported documents and extracted data
The feature supports the driver-document types most commonly used in rental offices:
- Driver's license (both sides).
- National ID.
- Residence card.
- Passport.
From each document the system extracts: the name, document number, nationality, country of issue, issue date, expiry date, and date of birth — including the dates that later help alert you before a driver's license expires.
Accuracy and privacy: review before saving
Automation doesn't mean losing control. The feature is built on three rules that protect the accuracy of your data and your customer's privacy:
- It never overwrites your data: it fills empty fields only, and what you entered by hand stays as is.
- No automatic saving: your employee is the one who reviews, confirms, and saves.
- Privacy first: the document photo is read solely to fill the form, and no data from the reading is saved automatically.
That way you combine the speed of automation with the safety of human review.
Part of the all-in-one KIRA platform
Driver-document reading isn't a standalone tool — it's one link in a complete workflow inside KIRA: you add the driver in seconds, then create the contract, and the invoice and accounting entry are generated automatically, your customer books from your website and app, and you track your fleet through built-in GPS tracking — all in one platform with Arabic and English support.
